1. Who we are and what these terms cover

Haykama is a platform for designing, approving and generating the documents of an institutional operating model. The provider is Haykama, operated by Salem Jaafar Ababneh, Amman, the Hashemite Kingdom of Jordan. These terms govern your use of the platform, whether on the free trial or a paid subscription. Using the platform means you accept them.

2. Your account

You need a working email address to create an account. If you sign up on behalf of an organization, you confirm you are authorised to bind it to these terms. You are responsible for keeping your password confidential and for activity under your account, and we will tell you if we see signs it has been compromised.

3. The trial

The trial runs for fourteen days from activation. When it ends, only document generation stops: reading, editing and export stay available, so your data is never held behind a paywall. You can request an extension from inside the platform. We review every request and reply by email.

4. Subscription and billing

Subscriptions are currently invoiced and paid by bank transfer, not by online card payment. Prices are in Jordanian dinars and exclude general sales tax and any government charges that apply. Invoices are issued for the agreed period and are payable within thirty days of their date unless agreed otherwise in writing.

5. Your content is yours

Everything you enter, and every document generated from it, belongs to the organization that owns the account. We claim no ownership over it, we do not use it to train AI models, we do not share it with any other customer, and we do not use it in marketing without your written consent. We hold only the narrow technical right to store and process it for one purpose: running the service for you.

6. Our intellectual property

The platform, its templates, its generation engine and its designs belong to us. A subscription grants a non-exclusive, non-transferable right to use them for its duration. You may not resell or sublicense the platform, or attempt to extract its source code.

7. Acceptable use

Do not use the platform for anything unlawful under Jordanian law, do not attempt to reach another organization's data, do not run penetration tests without prior written permission, and do not upload content a third party owns without authorisation. We may suspend an account immediately for a serious breach, and will tell you why.

8. AI features

AI features are optional. They do nothing unless your organization enters its own API key with the model provider, and you pay that provider directly. When enabled, the text being worked on is sent to the model provider for generation only.

AI output is a draft. It is a suggestion put in front of you to accept, edit or reject, and no document leaves the platform without a human decision. We do not warrant that a draft is accurate or that it satisfies any control framework, and responsibility for approving text rests with whoever approved it.

9. Availability and support

We aim to keep the service available at all times. It may stop for maintenance or for reasons outside our control. No availability commitment attaches to the trial. Specific availability and support commitments, where they exist, are written into a subscription contract and are not implied by these terms.

10. Data protection

Our Privacy Policy explains what we collect, where it is stored and why. Where your data contains personal information about your staff, as an org structure or a job description does, you are the controller and we are the processor under Jordan's Personal Data Protection Law No. 24 of 2023, and the relationship is governed by our Data Processing Agreement.

11. Confidentiality

We treat the content of your account as confidential. We access it only as far as needed to run the service, to fix a fault you have reported, or under a binding legal order, and in that last case we will tell you unless the law forbids it.

12. Warranties

The platform is provided as it is. We do not warrant that a generated document will pass an audit or satisfy a regulator, because that depends on the accuracy of what you entered and on that body's own decision.

13. Limitation of liability

We are not liable for indirect loss, lost profit, or data loss caused by something outside our control. In any case our total liability will not exceed what you actually paid in the twelve months before the event. Nothing here limits liability for wilful misconduct, fraud, or anything that cannot be limited by law.

14. Termination and what happens to your data

You may cancel at any time. On termination the account stays available for export for thirty days, then your data is deleted from live systems within a further thirty days, and from backups as their cycle expires. You may ask for immediate deletion in writing.

15. Changes to these terms

We may change these terms. Subscribers get thirty days' email notice before a material change takes effect, and continued use after that is acceptance.

16. Governing law

These terms are governed by the laws of the Hashemite Kingdom of Jordan, and the courts of Amman have jurisdiction over any dispute arising from them.
